- Guest lists are deleted within 90 days after the event, and we check IDs at the door by eye only.

What we collect, and why
Buying a ticket, booth or sponsorship
Our payment pages are run by Stripe. Stripe collects your payment details and shares with us your name, email, what you bought and what you paid, plus your phone number or billing address if the checkout asks for them. For booths and sponsorships we may also ask for your business name, phone number and Instagram handle. We use this to confirm your order, check you in, email you event details (including the venue address), send exhibitors their setup information, and handle refunds.
Our mailing list
If you join our list on this site, we keep your first and last name, your email and your confirmation that you're 21 or older. If you bought a ticket to a past Groovy Gravy event, including through the ticketing platform we used before 2026, we may email you about upcoming events. Every marketing email has an unsubscribe link, and we honor it promptly. We don't send marketing text messages unless you've specifically signed up for texts.
Forms on this site
Our contact form, vendor and sponsor applications, private-event inquiries and Clash of the Stash entries collect what each form asks for: usually your name, email, phone number, business name, Instagram handle and your message. We use it to reply to you and to plan the event you applied for. Submissions are stored by Netlify, which hosts this site, emailed to us, and, for vendor applications and competition entries, copied into a Google spreadsheet we use to manage them.
Guest lists (invite links, partner-store codes and staff lists)
Some people come as our guests instead of buying a ticket: creators, press, giveaway winners, members of community groups, and the staff and customers of our partner stores. For creators, press and giveaway winners we keep your full name as it appears on your ID for the door list. The rest of this part covers the Secret Stash guest-list form at app.itsgroovygravy.com/guest (also reached from itsgroovygravy.com/guest), whether your code or invite link came from a partner store, a creator, a community group or us, and the staff names partner stores send us. Where it differs from the rest of this page, it controls for guest-list information.
What we collect. If you register with a guest-list code or invite link: the code you used, your first and last name as they appear on your ID, your email address, a yes/no record that you're 21 or older with the date and time you registered, which store, creator or group your code or link came from, and a record of the notice and terms you accepted. We ask for your date of birth only to make the age check; it is sent to our server for that check and nothing else, and we don't store it or keep it in our logs. If the check fails, nothing is saved and your code stays unused. If a partner store sends us its staff list: your first and last name and the store's name. We don't collect staff emails; your store passes you the entry time and venue address. We don't collect purchase information, phone numbers or your IP address, and nothing about what you bought.
Why we use it. Only to run the guest list: to confirm your spot, email you your entry time and the venue address, check you in at the door by matching your ID to the name on the list, fix your details if you ask, and count how many codes and link spots from each store, creator or group were used. We don't use guest-list information for marketing. The form has a separate box, unticked by default, for our mailing list; if you tick it, we move your name and email to our mailing list after the event, and the mailing-list rules above then apply to them.
Who sees it. Groovy Gravy Ltd. and its door staff on the day of the event (the door list shows your name, the store, creator or group you came through and your entry window, not your email), and the service providers that host the form, store the list and send the confirmation email (currently Netlify, Neon and Google Workspace), acting on our instructions. We don't share your name, email address, or anything else about you with the store, creator or group that gave you the code or link, or with any other store, creator or group. They are told only how many of their codes or link spots were used. We don't sell personal information, and we don't share the guest list with sponsors, vendors or advertisers.
How long we keep it. We delete the guest list (names, email addresses, code-use records, 21+ confirmations, and the copies of confirmation emails in our mailbox) within 90 days after the event, that is by 12 February 2027, or within 90 days after a cancellation if the event doesn't go ahead. Backup and restore copies age out within 30 days after that. The only things kept are the count of codes used per partner store and one combined count for all creator and community invites, neither of which identifies anyone, and the mailing-list entries of people who ticked the box. The names we keep for creator and community invites are deleted with the guest list.
Your choices. Email stephen@itsgroovygravy.com from the address you registered with to see what we hold about you, correct it, or be removed from the list. Removal before the event takes you off the list, and that spot can't be reused. If you received a confirmation you didn't request, reply to it and we'll remove the entry. If a partner store sent us your name and you'd rather not be listed, tell the store or email us.
Changes. If we change this part before the event, we'll post the new version here with a new date at the top of the page and email registrants if the change affects how their information is used.
The Secret Stash app
The app at app.itsgroovygravy.com is in a closed beta. Right now an attendee account stores that you're 21 or older (a yes or no, not your birth date), that you agreed to the beta notice, and the entry window you picked, plus a sign-in token on your device and on our server so you stay signed in. The app never stores your IP address; its abuse counters are anonymised and expire the same day. You can delete your data at any time in the app under Me → "Delete my data and sign out". Beta attendee data is wiped by 31 December 2026. Guest-list registrations made at app.itsgroovygravy.com/guest are covered by the Guest lists part above and are deleted on its schedule. If the app ever asks for more, like your name or email, it will tell you first, and we'll update this page before it does.
Booking a call
Our booking page uses Google Calendar's appointment scheduler. When you book, Google collects your name, your email and your phone number if you enter it, and shares them with us so we can set up the call. We may take notes on calls with AI note-taking software.
Messaging us
If you email us or message us on Instagram, we keep the conversation so we can reply and follow up. We use software, including AI tools, to sort incoming messages and draft replies; a person reads every message before anything is sent.
At the event
- We check your ID against the ticket list or guest list at the door. We don't scan, photograph or keep a copy of your ID.
- We photograph and film our events and may use the footage to promote future ones. If you'd rather not appear, tell a staff member at the event, or email us and we'll leave you out or remove you from the places we control, like our website and social accounts.
- We share your contact details with a vendor only if you agree to it at that moment.
What we don't do
- We don't sell your personal information or share it for targeted advertising.
- This site and the Secret Stash app don't use advertising pixels, analytics trackers or tracking cookies. Our host keeps standard server logs, such as IP addresses, for security and to keep the site running; the app keeps only short-lived, anonymised abuse counters.
- We never see or store your card number.
- We don't knowingly collect information from anyone under 18, and our ticket, guest-list and app forms are for people 21 and older.
Who we share it with
Only the service providers that help us run things, and only what each one needs to do its job:
- Stripe: payments
- Netlify: hosting this site and the Secret Stash app, and receiving this site's forms
- Neon: the database behind the Secret Stash app and its guest list
- Google Workspace: email (including the confirmation emails our own address sends to guest-list registrants), call booking, and the spreadsheets we use to manage vendors and entries
- EmailOctopus: sending our email newsletter (guest-list emails go here only if you ticked the box, and only after the event)
- HubSpot and Notion: keeping track of vendor, sponsor and business contacts, and messages we need to answer
- Anthropic and Granola: AI tools that help us sort incoming messages, draft replies and take notes on calls
- Our event staff and contractors: the door list on the day, and nothing else
We also use everyday work tools, like team chat and task lists, to coordinate our work; they see only what's needed for that. We may also share information when the law requires it, or to protect the safety of our guests, staff or vendors.
How long we keep it
- Purchase records: as long as tax and accounting rules require.
- Mailing list: until you unsubscribe.
- Form submissions and business contacts: up to 24 months after we last hear from you, or for as long as we're still working together.
- Emails and messages: as long as we need them to reply, follow up and keep a record of our work together.
- Guest lists: deleted within 90 days after the event; only the per-store count of codes used, one combined count for creator and community invites, and any mailing-list opt-ins are kept.
- Secret Stash app beta data: wiped by 31 December 2026.
- Event photos and video: kept, unless you ask us to remove you.
Your choices
Email stephen@itsgroovygravy.com and we'll help you see what we hold about you, correct it, delete it, or stop emailing you. We reply within 30 days. We may ask you to write from the email address we hold so we know it's you. If the law requires us to keep something (a purchase record for taxes, for example), we'll tell you what and why.
Cookies and embedded content
Our own pages set no cookies. They load fonts from Google Fonts, which means Google receives your IP address. Videos come from Vimeo but only load when you press play. The booking page embeds Google Calendar, and our vendors page and the app's Map screen embed our own booth map, a separate site we run on Netlify that also uses Google Fonts and sets no cookies. Stripe's checkout pages and Google's scheduler set their own cookies under their own privacy policies. The Secret Stash app keeps a sign-in token and your 21+ answer on your device so you stay signed in. We don't let anyone collect information about you across other websites through ours. Because we don't track you or sell your information, a browser "Do Not Track" or Global Privacy Control signal changes nothing: you're already opted out.
Age
Our events, ticket and guest-list forms and the app are for people 21 and older. This site isn't aimed at children, and we don't knowingly collect information from anyone under 18. If you think someone under 21 gave us their information for a ticket or guest list, email us and we'll delete it.
Security
We use established providers and limit who can see your information to the people who need it. No system is perfect. If a security problem affects your information, we'll tell you what happened and what we're doing about it.
Changes to this page
If we change how we handle your information, we'll update this page and the date at the top. For a big change, we'll email the people it affects first.
